Part-Time Office Manager

Overview

We’re currently recruiting for a highly organised, proactive and hands-on part-time Office Manager to join a well-established and growing software business with an international client base and a strong reputation within the manufacturing sector.

This is a varied role for someone who enjoys being the person who keeps things moving and gets things sorted. You’ll take ownership of the day-to-day running of a busy 30-person Nottingham office, while supporting a broad range of operational and administrative activities across the wider business.

The successful candidate will be comfortable juggling multiple priorities, working independently and dealing with changing requirements in a fast-paced environment. The role involves a broad range of responsibilities including office operations, system administration, invoicing, stock management, HR and payroll administration, and health & safety support.

The role is 24 hours per week, Monday to Thursday, 10am–4pm paying a full-time equivalent of £36,400, with an attractive benefits package.

Consistent availability around month-end is essential, as this is a particularly busy period for the role. The successful candidate will need to be available during the 2–3 working days before and after the last day of each month, although this will not require any Friday working.

Candidates must be available to start immediately or within 1–2 weeks.

Skills & Experience
  • Proven experience in an Office Manager, Senior Administrator, Business Support or similar role, ideally within a varied and fast-paced environment
  • Highly organised with strong attention to detail and the ability to manage multiple priorities independently
  • Basic to intermediate Excel skills, with confidence working with spreadsheets, data and maintaining accurate records
  • Previous experience with system administration, with the confidence and ability to learn and work across multiple business systems
  • Experience of invoicing or finance administration and stock/inventory management, with an understanding of the importance of accuracy and deadlines
  • A proactive, practical “get things done” approach, with excellent communication skills and an interest in finding more efficient ways of working through technology, automation and AI
This role would suit someone who enjoys variety and responsibility and is comfortable being the key point of contact for a busy office, while also supporting finance, HR and wider group administration. We’re not looking for someone who wants to specialise solely in finance. The successful candidate will be an all-round Office Manager who is comfortable with the finance element of the role and enjoys having a broad remit across the business.Immediate availability or the ability to start within 1–2 weeks is essential.
Roles & Responsibilities
  • Take ownership of the day-to-day running of the Nottingham office, including office supplies, equipment, building and landlord queries, subscriptions, facilities and general administration
  • Act as a key point of contact for employees, customers, suppliers, contractors and service providers, handling queries and escalating to the appropriate internal or centralised team where required
  • Support group-wide operational administration, including car hire, supplier and customer account setup, insurance and contract renewals, exporting and delivery documentation, and uniforms and PPE
  • Support centralised finance with month-end administration, including WIP, billing, invoice generation, Harvest and NetSuite administration, purchase orders and data quality checks
  • Maintain accurate inventory records, manage stock check-out processes, support quarterly inventory checks and ensure delivery documentation is maintained for audit purposes
  • Support HR, payroll, onboarding and offboarding administration, as well as health & safety, fire safety, office maintenance, ISO and wider compliance requirements
